Cancellation & Refund Policy – OfficeFnD

2.1 Introduction

This Cancellation & Refund Policy ("Policy") sets out how cancellations, changes, and refunds are handled for enquiries and bookings made via OfficeFnD

Because we are primarily an aggregator and facilitator connecting Users with Workspace Providers, most commercial and cancellation terms are ultimately governed by the Workspace Provider’s own policy and the agreement you sign with them.

2.2 Scope

This Policy applies to:

  1. Short-Term Bookings
    • Meeting rooms, conference rooms, training rooms, day passes, etc.
  2. Long-Term Arrangements
    • Coworking seats, private cabins, managed offices, commercial office spaces, virtual offices, etc
  3. Payments made through OfficeFnD
    • Tokens, booking amounts, convenience fees, service fees, or any other payment channels facilitated via OfficeFnD.

Where there is a conflict between this Policy and a specific written agreement (proposal, LOI, lease, license, or service agreement) signed between the User and the Workspace Provider, the specific agreement shall prevail for that transaction.

2.3 Role of OfficeFnD in Cancellations & Refunds
  1. OfficeFnD:
    • is not the owner/lessor/licensor of the Workspace;
    • generally does not decide final cancellation penalties or refunds for space usage;
    • may facilitate communication and payment flow between User and Workspace Provider.
  2. Any:
    • lock-in period,
    • notice period,
    • forfeiture of deposit,
    • early-exit penalties,
    shall primarily be governed by your agreement with the Workspace Provider.
  3. OfficeFnD may, at its discretion, assist in mediating disputes or coordinating refunds, but is not obliged to secure any specific outcome.
2.4 General Principles
  1. Transparency
    • Cancellation and refund terms applicable to your booking will be shared with you:
      • on the listing (where available),
      • in a proposal or email, or
      • in the final written agreement/contract.
  2. User Responsibility
    • It is your responsibility to read, understand, and clarify the cancellation and refund policies before:
      • confirming a booking; or
      • signing any agreement.
  3. Workspace Provider Policies Prevail
    • In most cases, the Workspace Provider’s cancellation policy shall be final and binding for workspace usage, subject to applicable law.
2.5 Cancellation of Short-Term Bookings

Applies mainly to

  • Meeting rooms, conference rooms, training rooms, day passes, etc.
2.5.1 User-Initiated Cancellation
  1. Cancellation terms (timeframes, charges, and refundable amounts) will typically be:
    • displayed on the particular listing page; or
    • mentioned in the booking confirmation email/WhatsApp; or
    • communicated by our team before confirmation.
  2. Common (illustrative) structures may include:
    • Free cancellation up to X hours/days before the booking start time;
    • Partial refund (e.g., 50–80 percent) if cancelled within a particular window;
    • No refund for last-minute cancellations or no-shows
  3. OfficeFnD will process refunds only:
    • where the booking was paid through us; and
    • as per the stated policy and Workspace Provider’s confirmation.
2.5.2 Provider-Initiated Cancellation
  1. If a Workspace Provider cancels a confirmed short-term booking:
    • You may be entitled to a full refund of the amount paid through OfficeFnD; and/or
    • An alternative workspace option may be offered, subject to your consent and availability.
  2. OfficeFnD’s liability is limited to:.
    • refunding amounts actually received by us for that specific booking (if applicable);
    • we are not liable for any indirect or consequential losses (e.g., travel, lost business).
2.6 Cancellation/Termination of Long-Term Arrangements

Applies mainly to:

  • Coworking seats, cabins, full floors, managed offices, commercial leases, and virtual offices
  1. Lock-in and notice period
  2. Terms on:

    • lock-in duration,
    • minimum tenure,
    • notice period for exit,
    • charges for early termination
    • will be specified in the agreement signed between User and the Workspace Provider.
  3. Security deposit
  4. Refundability, deductions for damages, and timelines for return of deposit will be governed by

    • the relevant agreement; and
    • local laws, if applicable.
  5. Mid-term termination by User
  6. Any forfeiture of rent/fees or deposit due to early exit will be decided as per:

    • the signed agreement; and
    • Workspace Provider’s written policy.
  7. Termination by Workspace Provider
  8. If the Workspace Provider terminates your agreement prematurely (other than for your breach):

    • rights and remedies available to you (including deposit refund and compensation, if any) will depend on your contract with the Workspace Provider;
    • OfficeFnD may help coordinate discussions but is not responsible for contractual breaches by either party.
2.7 Refunds Where OfficeFnD Has Collected Monies

In cases where OfficeFnD collects booking amounts, tokens, or fees on behalf of a Workspace Provider:

  1. Processing of refunds.
  2. OfficeFnD will initiate refunds only:

    • after receiving written/email confirmation from the concerned Workspace Provider regarding the refund amount; and
    • subject to applicable deductions and this Policy.
  3. Mode and timeline
    • Refunds are typically processed via:
    • the original payment method (credit card, UPI, net banking, wallet, etc.), or
    • bank transfer, where applicable.
    • Timelines:
    • OfficeFnD may initiate the refund within a reasonable period (e.g., 7–10 working days) after approval;
    • actual credit to your account depends on your bank/payment gateway and may take additional time
  4. Non-refundable charges
    • Certain components may be non-refundable, such as:
    • OfficeFnD convenience fees or service charges (if levied);
    • payment gateway charges or taxes already paid, where non- recoverable
    • any specific non-refundable token described at the time of booking.
2.8 No-Show Policy
  1. If you:
    • fail to show up for a confirmed short-term booking, or
    • do not commence occupancy as per the agreed date in a long-term arrangement without proper notice

  2. In a no-show scenario:
    • you may not be entitled to any refund;
    • the Workspace Provider may forfeit any booking amount or deposit as per their policy/contract.
2.9 Changes, Rescheduling, or Downgrades
  1. Any request to:
    • reschedule dates,
    • reduce number of seats,
    • downgrade plans, or
    • move to a smaller workspace

    will be treated as a modification and may:

    • be allowed or refused by the Workspace Provider;
    • attract additional charges or be treated as cancellation in part/whole.
  2. OfficeFnD will act as a facilitator but:
    • final decision rests with the Workspace Provider;
    • any revised commercial terms must be mutually agreed between User and Provider.
2.10 OfficeFnD Service / Convenience Fees
  1. OfficeFnD may charge:
    • service fees,
    • convenience charges, or
    • platform fees for certain services or types of bookings
  2. Unless expressly stated as refundable:
    • such fees collected by OfficeFnD are non-refundable, even if:
    • the Workspace Provider later cancels; or
    • the User decides not to proceed;
    • except where a refund is required by law or explicitly agreed otherwise.
2.11 Disputes Related to Refunds
  1. Any disagreement over:
    • deduction from deposit,
    • quantum of refund,
    • alleged damages,
    • lock-in or notice conditions
    is primarily a contractual dispute between the User and the Workspace Provider.
  2. OfficeFnD may, at its discretion:
    • help clarify terms and mediate discussions;
    • share records of communications and agreed terms where available.

However, OfficeFnD:

  • is not an arbitrator or legal adjudicator;
  • is not liable for the final outcome of such disputes.
2.12 Policy Changes

We may modify or update this Cancellation & Refund Policy from time to time. Updated versions will be posted on the Platform. Your continued use of the Platform or Services after changes indicates your acceptance of the updated Policy.
